This page says, in plain words, what VIKI Systems keeps about you and your business when you use VIKI Books, and what we do with it.
What we keep
- Your account: your name, email address, phone number and password (stored scrambled, so nobody can read it).
- Your books: everything you or your team enter or import, such as customers, suppliers, invoices, bills, bank lines, payroll and tax figures.
- Files you attach, such as receipts, bills and documents.
- A record of sign-ins and of every change made in your books (the audit trail), so you can see who did what.
Where it is kept
On a secure server we rent from Hetzner, a hosting company. A full copy is made every night and kept for 30 days.
Who can see it
- You, and the people you give access to, each limited to what you choose.
- If an accounting firm looks after your books, the people at that firm you or they give access to.
- VIKI Systems sees your account details, plan and how much you use the system. We do not look inside your books unless you ask us to help you with something.
The AI assistant (Ask VIKI)
Ask VIKI is an add-on that is off unless switched on for your account. When you use it, your question and the figures needed to answer it, or the receipt photo you ask it to read, are sent to Anthropic, the company that provides the AI, to produce the answer. Nothing is sent when you do not use it.
What we never do
- We do not sell your data or share it for advertising.
- We do not use your books for anything except running VIKI Books for you.
Your choices
- Download a full backup, or export everything to Excel, at any time from Settings.
- Ask us to correct your account details, or to delete your account and books when you leave. Copies in the nightly backups disappear within 30 days.
